You are welcome to book with us over the phone to +353 59 8623 998, online or by email to info@raceandstay.com.

If you book longer than 31 days away from your arrival date all we ask is a refundable deposit to secure your booking and you must confirm your requirements with us and pay the balance in full at least 31 days before arrival. If you book within 31 days of arrival or event date you may be asked to pay in full at the time of ordering.
Buying online and over the 'phone is safe with us but we do realise that for some people purchasing from a website can be a daunting prospect, especially when you are asked to pay a deposit and provide credit card and personal information. This is why we only use BANK TRANSFER, STRIPE and PAYPAL encrypted payment services to transact with our guests. We NEVER store, or even see in most cases, your credit card details, we never record telephone conversations and we do not hold any data about our guests except for what is required to facilitate your booking or by law. We always take our guest's privacy seriously, you are welcome to view our privacy policy here. Booking Terms

When processing your booking we will arrange for you to enter into a contract with the service provider of the related service including, among others, hotels, accommodation providers, racecourses, restaurants, transport providers and businesses (“Third Parties”). In all cases we are acting as the Third Parties agent in arranging your booking and the Third party is the principal. Where we are acting as your agent in arranging your booking, by acceptance of these Terms of Business you are giving us your authority to liaise with the Third Party direct on your behalf. Importantly, your booking through us is subject to both these Terms of Business (which define and explain our obligations to you and the role that we play) and the Booking Conditions, that is the specific booking conditions of the relevant Third Party which set out, amongst others, your rights in the event that something goes wrong with the service you have booked.

Your Booking with us may consist of seperate elements, for instance, a Hotel booking, a Racecourse booking, Seperate Tours and Event bookings and a Transport booking. In all cases these are seperate bookings and we simply facilitate your connection to those who do provide or arrange services (whether singly or in combination) such as hoteliers, racecourses, transport companies, tour operators etc. Essentially we are an advanced search engine through which you can book any product which you have decided you want as a result of the web searches carried out through us. Irish Masters Events Hospitality Limited acts strictly as agent only (whether as agent of the Service Providers or as your agent) and accepts no responsibility or liability for any actual product or services booked or for the acts or omissions of those actually providing the product or services booked.

(a). In completing your booking with us you are accepting our Terms, the General Terms and the Booking Conditions.
(b). You may decide to make one or more booking with us at the same time. Please note that, irrespective of the various products you book, for example a hotel booking, or racecourse hospitality booking each booking is a separate booking and your bookings, even though they may be linked to the same dates of travel, do not constitute a package as defined in the Package Travel, Package Holidays and Package Travel Regulations 1992 (“Package Travel Regulations 1992”) nor the Civil Aviation (Air Travel Organisers’ Licensing) Regulations 1995, Amended 2003 (“ATOL Regulations”).
(c). Your booking is not confirmed until you receive a booking confirmation and thereafter until you have paid in full.
(d). All bookings are purchased individually at their own individual price. The price charged in total for several bookings will always equal the simple sum of the prices charged for each individual booking.
(e). Irish Masters Events Hospitality Limited is not a tour operator. This means that we do not arrange or create combinations of travel products;
(f). For the avoidance of doubt, Irish Masters Events Hospitality Limited operates websites and has a call centre. All bookings are subject to these Agency Terms of Business, regardless of whether they are booked through the call centre or the website.

In addition to the General Terms which follow immediately, after them there are particular terms which apply to very specific types of arrangements which you may wish to book through us.

CONTRACTING PARTIES

Irish Masters Events Hospitality Limited (The Company) (Registered in Ireland No: 685451) and trading as Race and Stay™ is not a travel or tour agent but acts as an authorised sales agent and contracts directly with third party suppliers such as, but not limited to, Racecourses, Transport Companies, Hotels, Accommodation Providers and other service providers in order to supply a service to you.

BOOKING TERMS STATEMENT

Your acceptance of these terms is expressly implied by placing a booking with us. If you do not agree to these terms please do not book any service with us.

SERVICE PROVIDERS

Please note that all bookings with our service providers placed via us are subject to their individual terms and conditions of service and also their own limitations of liability. It is important to note that some of these limits exclude liability in respect of death, personal injury, delay and loss or damage to baggage. Therefore Irish Masters Events Hospitality Limited cannot accept be held responsible for any loss as a result of such actions or as a result of any act or omission of any such third parties. Due to the varied nature of the services provided, Irish Masters Events Hospitality Limited will not be liable if any service departs or arrives later than the specified time, even if as a result you miss a contracted service or the performance of any service poviders product or service. Irish Masters Events Hospitality Limited may not be held responsible for delays due to mechanical failure, or other issues that may arise and are outside of our control.

GENERAL TERMS

The following terms apply to all bookings taken on www.raceandstay.com or over the telephone, or by letter or fax and are general overriding conditions of sale. By placing an order with the Company the customer warrants that:
(a) They are over 18 years of age and are legally authorised to place such an order.
(b) That they have read, understood and have agreed to all of the terms and conditions applicable to any such purchase or service.
(c) That they accept that prices may fluctaute and that the price they have paid is the price for the service as quoted at the time of purchase.
(d) That they accept any other third party service providers terms applicable to their booking.

RACE AND STAY PACKAGE TERMS

The following terms apply in addition to all other terms and specifically to Race and Stay™ bookings.

CONTRACTING PARTIES

There are many third party suppliers used in the make up of a Race and Stay™ booking, each of these suppliers have their own individual terms and conditions and privacy policies. The Company cannot be held responsible for any act or omission by the supplier in the performance of the booked service. It is your responsibility to ensure that before placing an order or booking with the Company you are familiar, have read, agreed to the individual supplier's terms and conditions and privacy policy and that you expressly authorise the Company to act on your behalf in placing any order with a third party supplier. Please note that these terms and conditions may change from time to time.

OUR SPECIFIC BOOKING TERMS

We like to think that we are a reputable company who respect the privacy and integrity of any customer we deal with. Our major aim in selling Race and Stay™ packages is to boost attendance at Irish Horse Racing events and to provide you, the customer with a value for money, consolidated and professional service to make your buying decision easier. We are supported in our aims by the Racecourses, Hotels, Third Party Suppliers and Transport companies we deal with who pay us a "commission" which contributes to our running costs and business in general. Nothing is "hidden" in our pricing policy and we are fair and transparent with our easy to understand booking terms and conditions. There are some legally binding conditions we have to state and adhere to in providing our services and these, in addition to those previously stated, we have set out below.

WHEN YOU REQUEST A PACKAGE

When you request a service or item with us, either from our website or over the telephone or via email, we check our availability with our third party suppliers and if they have sufficient resources to place your booking we will email you a booking confirmation. Our booking confirmations start with an RS and have 5 digit number that follows. Each booking confirmation is individual to each customer and clearly states what services you have requested from us and the price you have agreed to pay for them. If we are unable to provide you with what you have requested then we will email or telephone you to inform you of the options available for alternative packages.

YOUR BOOKING WTH US

Once you have received a booking confirmation from us your booking is accepted by the Company and is subject to the following Booking, Cancellation and Fair Use terms. If you have not received a booking confirmation from us then you have no booking in our system or with the Company. You can place a booking request with us by paying a deposit or by paying in full at the time of purchase. If you elect to pay a deposit then your booking is considered to be a request only and all balances must be paid at least 31 days before your arrival or event date.
For avoidance of doubt
(a). Your booking confirmation contains all of the individual services you have requested and that we have agreed to book for you and is the only contractual and over-riding document relating to your booking.
(b). Excepting in the case of obvious error the price on your booking confirmation shows the price you will pay or have paid.
(c). Your booking confirmation is a request and may be subject to alteration until paid in full when the booking becomes firm.

CANCELLATION AND AMENDMENTS

We are as flexible as possible with our guests and our cancellation / amendments policy is easy to understand and fair to you and us too. There are no "hidden nasties" and we have simplified our policy to account for the terms we book under with our third party suppliers. We cannot accept cancellation or amendments to any booking over the telephone, requests must be in writing via email to info@raceandstay.com

CANCELLATION TERMS

If you want to cancel your booking with us

Anytime up until 31 Days before your Arrival Date

You can either:

  • Receive a full refund, no matter the reason for amendment or cancellation
  • Transfer your booking to another event at current rates
  • Transfer your booking to the equivilent meeting next year at this year's rates
From 30 Days before your Arrival Date

Cancellations are not possible and you will be charged 100% of the booking value but you can:

  • Change a guest name without penalty
  • Add additional guests and services (providing they are available)
On or After your Arrival Date

No refund will be made on any part-used element of your booking with us. You will be charged 100% of the price of all part-used elements unless one or more of the elements that you have booked with us is unavailable. In this case we will refund you for the unavailable element of your package only. The remainder of your booking (such as hotel accommodation and unaffected events or tours) will stand.

In all cases of cancellation the limit of our liability to you is the price you have paid us only, we are not liable for any other or additional expenses you may incur in respect of your booking with us.

IF WE CANCEL OR CHANGE YOUR BOOKING

The balance of the cost of your arrangements (including any surcharge where applicable) is due not less than 31 days prior to arrival. If we do not receive this balance in full and on time, we reserve the right to treat your booking as cancelled by you in which case the cancellation charges set out above will become payable and we will retain the deposit paid and may seek full payment as described in our cancellation policy above. If our third party suppliers are unable to fulfil part or all of the booking you have placed with us we will
(a) Offer you an alternative and equvilent option or
(b) We will cancel your booking in full and refund any monies you have paid us.
Either one of the options is in full and final settlement and is the full extent of our liability to you. The limit of our liability to you is the price you have paid us only, we are not liable for any other or additional expenses you may incur in respect of your booking with us.

We strongly recommend that you have adequate insurance to cover any loss you may face in amending or cancelling your booking with us.

ERRORS

Occasionally there may be errors in pricing, availability or descriptions of the services we offer. If as a result of any such errors we are unable to fulfil part or all of the booking you have placed with us we will (a) offer you an alternative and equvilent option or (b) cancel your booking in full and refund any monies you have paid us. Either one of the options is in full and final settlement and is the full extent of our liability to you. The limit of our liability to you is the price you have paid us only, we are not liable for any other or additional expenses you may incur in respect of your booking with us.

OUR LIABILITIES AND FORCE MAJEUR

Occasionally circumstances beyond our control will affect a booking you have placed with us. The Company shall not be liable for:

(a) any damage to or loss of the Customer's property unless such damage or loss has occurred as a result of the willful misconduct of our staff.
(b) any of the Customer’s, its guests, staff and/or agents’ indirect, special or consequential losses (for example, transport or accommodation costs).
The Company shall not be liable to the Customer for:
(a) any expenses or losses incurred by the Customer; or
(b) any delay or non-performance of The Hotel, Transport Company or Racecourse’s obligations to the Customer, if and to the extent that such expenses or losses, delay or non-performance are caused by a failure of a third party supplier to honor any service, a Force Majeure Event. “Force Majeure Event” shall mean any event or circumstance which is reasonably beyond Irish Masters Events Hospitality Limited control, including without limitation, act of God, terrorist action, imminent threat of terrorist action, epidemic, pandemic, wars, national emergencies, insurrections, riots, fire, flood, suspension of power leading to inoperability of the Arena, loss of utilities, national mourning, strike, industrial action, lock out, breakdown, malfunction or damage of or to the Racecourse, any plant, equipment or materials, explosion, civil commotion or disturbance, interruption in, delay or failure of necessary transportation or technical facilities, severe weather conditions or act of local or national government.
Nothing in these terms and conditions shall exclude either party’s liability for death or personal injury caused by its negligence, fraud or fraudulent misrepresentation or any other liability which cannot be excluded by law.

The Customer shall be liable for, and shall indemnify Irish Masters Events Hospitality Limited against, any loss or damage caused to the Hotel, Transport Company, Racecourse and any other service provider contracted , its furniture, fixtures and/or equipment which may arise as a result of the Customer’s use of the Hotel, Transport Service or Service Provider, Racecourse or Hospitality Areas or from items being brought into the Racecourse by the Customer, its guests, staff and/or agents, excluding any loss or damage directly caused by Hotel, Racecourse, Transport Company or Service Provider staff or agents.

EFFECT OF NON COMPLIANCE

If the Customer does not comply with these terms and conditions, the Hotel, Transport Company and Racecourse Rules and/or the ticket terms and conditions:
(a) the Customer shall (at The Company's request) leave the Hotel, Transport Service or Racecourse and/or require its guests, staff and/or agents to leave without delay; and
(b) the Customer shall (at The Company's request) pay in full for any loss or damage caused to the Hotel, Transport Company, Service Provider or Racecourse.

LAW

These terms and conditions shall be governed by and construed in accordance with Irish law. Any dispute in relation to their subject matter shall be submitted to the courts of the Republic of Ireland. If you do not agree to these terms and conditions please do not book or reserve any service or a Race and Stay™ package with us.
